Best payment and credit control tools for Irish MSPs

For an Irish managed service provider, the payment decision is mainly about collecting monthly contract fees in euro and chasing the invoices that fall behind. ConnectWise's WisePay is only available to businesses in the US, Canada, Australia and New Zealand, so Irish MSPs choose among payment providers, credit control tools and the features in Xero or QuickBooks. Because MSP clients are usually businesses, statutory late payment interest applies to their overdue invoices, so look at whether a tool can add it for you.

The short version

  • ConnectWise's WisePay isn't available to businesses in Ireland.
  • SEPA direct debit suits monthly contracts; notice is 14 days unless agreed otherwise.
  • Stripe limits each SEPA direct debit to €10,000.
  • Statutory interest of 10.4% a year applies to overdue business invoices from 1 July 2026.
  • Adfin works alongside your PSA and syncs two ways with Xero or QuickBooks.

What MSP billing needs from a payment tool

If you run an MSP, most of your income probably comes from monthly contracts: a fee per user or per device, a support retainer, licences you resell. The amount can change every month as clients add and remove seats. On top of that come project invoices for migrations, hardware and one-off work, which are larger and less regular.

Your clients are businesses, and a payment tool has to collect the monthly fee without anyone at the client doing anything, take larger one-off payments without fuss, and chase the invoices that still go overdue. It also has to keep your accounting software up to date, because that's usually where your invoices live even if contracts and tickets sit in a PSA.

MSP payment tools and Ireland

Some payment tools are built for MSPs by PSA vendors, so check where each one is offered before you plan around it. ConnectWise's WisePay is currently available only to businesses based in the US, Canada, Australia and New Zealand, so an Irish MSP can't use it.

That leaves general payment and credit control tools, used alongside your PSA. It helps to check how invoices flow. If your PSA sends invoices to Xero or QuickBooks, a tool connected to your accounting software can see those invoices, whichever PSA created them.

Adfin works alongside whatever PSA you use for contracts and tickets, and it's a certified Xero app and a certified QuickBooks app with two-way sync. Payments taken through it are marked paid in Xero or QuickBooks automatically.

Monthly contracts and project invoices

SEPA direct debit suits monthly contracts because a client signs a mandate once and you collect each month on the due date. If your fees change month to month, the scheme's notice and refund rules shape how you bill.

Clients must get a pre-notification at least 14 calendar days before each collection, unless you've agreed a different period with them. The notice can go out with the invoice, so if you bill in arrears for last month's seats, send the invoice at least 14 days before you collect, or agree a shorter notice period in your contract.

A client can get any direct debit refunded by their bank within eight weeks, no questions asked, or within 13 months if they say they didn't authorise it. If a client disputes a month's seat count, it's quicker to sort it out before the collection than after a refund.

For collection, the main options are these.

  • GoCardless collects SEPA direct debits and works with Xero, QuickBooks and Sage, among others. It doesn't take card payments or send invoice reminders, its fees are taken out of your payouts, and showing your own business name on clients' statements is a €50 a month add-on.
  • Stripe takes cards and SEPA direct debit. Standard European Economic Area cards cost 1.5% + €0.25, international cards 3.15% + €0.25, and on SEPA direct debit Stripe lists €3.50 for a failed payment and €15 for a dispute. Each SEPA debit through Stripe is limited to €10,000, and SEPA funds become available six business days after the payment.
  • Adfin takes SEPA direct debit, card, Apple Pay, Google Pay and bank transfer, with payment links by email, SMS or WhatsApp for project invoices. Its standard price is 20c + 1% per successful payment. For SEPA direct debit and bank transfer the 1% part tops out at €2, so a monthly contract fee of up to €2,000 costs no more than €2.20 to collect that way; cards have no cap. You don't pay a monthly fee or setup fee, and you aren't tied to a contract.

If you're moving clients from another SEPA direct debit provider to Adfin, they keep their existing mandates and don't need to sign again. The mandate moves with the next collection, and clients are told before it, which matters when you have dozens of contracts on direct debit already.

Overdue invoices and statutory interest

Even with direct debit, some invoices go overdue: project work, clients who never signed a mandate, collections that come back. Xero can send automatic reminders before or after the due date, at whatever frequency you set. QuickBooks Online sends up to three automatic reminders per invoice, up to 90 days either side of the due date, for invoices already emailed from QuickBooks.

Because your clients are businesses, the European Communities (Late Payment in Commercial Transactions) Regulations 2012 (S.I. 580 of 2012) apply to their invoices. You're entitled to interest at the European Central Bank's main refinancing rate plus 8%, which is 10.4% a year from 1 July 2026 and reset every 1 January and 1 July. It runs from the day after the payment date without a reminder, and you can add fixed compensation of €40, €70 or €100 per invoice depending on its size, plus reasonable recovery costs.

Watch the payment terms larger clients ask for, too. Between businesses, a payment date more than 60 days after delivery must be expressly agreed in the contract and can't be grossly unfair to you. If you work for public bodies, the Regulations set a 60-day ceiling, and the government's prompt payment policy asks public bodies to pay suppliers within 15 days of a valid invoice, though that policy is administrative and doesn't change your contract.

To have interest applied without working it out yourself, look at tools that do it automatically. Paidnice applies late fees and interest automatically, works with Xero, QuickBooks Online and Stripe, and costs €59 a month for up to 150 invoices, or from €85 on Pro. Adfin's Essential credit control is free under fair use, with unlimited reminders by email, SMS and WhatsApp, statements and an aged debtors view. Enhanced costs 0.3% per paid invoice, only when it's used, and adds statutory interest on overdue business invoices automatically, with grace periods and waivers per client, plus collection agents that choose the timing, channel and tone of reminders within rules you approve.

The options compared

How to choose for your MSP

If most of your revenue is monthly contracts, put those on SEPA direct debit first and decide whether you want chasing in the same tool. A direct debit provider plus your accounting software's reminders works if few invoices go overdue. A tool that collects and chases may suit you better if project invoices and returned collections take up real time.

If your monthly amounts change with seat counts, check how a tool handles pre-notification and whether your invoice timing leaves 14 days before collection. If it doesn't, agree a shorter notice period with clients in writing.

If you want statutory interest applied, compare tools that do it automatically on their price model. Paidnice charges a monthly fee by invoice volume, and Enhanced credit control costs 0.3% per paid invoice, only when it's used.

If you invoice from your PSA, check that it posts invoices to Xero or QuickBooks, so a payment or credit control tool connected there sees them all.

Common questions

Is ConnectWise WisePay available in Ireland? WisePay is available only to businesses based in the US, Canada, Australia and New Zealand. Irish MSPs need a general payment or credit control tool.

Can I collect a different amount each month by SEPA direct debit? You can, as long as clients get a pre-notification at least 14 calendar days before each collection, unless you've agreed another period. It's fine to include that notice on the invoice itself.

Can an MSP charge late payment interest to clients in Ireland? On invoices to businesses and public bodies, you're entitled to statutory interest under S.I. 580 of 2012, at 10.4% a year from 1 July 2026, plus fixed compensation of €40, €70 or €100.

How long can a business client take to pay an MSP invoice? If no date was agreed, payment is due 30 days after the later of receiving the invoice or delivery. Terms over 60 days must be expressly agreed and not grossly unfair to you.

Does Adfin work with my PSA? It works alongside your PSA and syncs two ways with Xero or QuickBooks. If your PSA posts invoices to either, Adfin can collect and chase them.

Can clients reverse a direct debit for a monthly contract? Clients can ask their bank for a refund within eight weeks with no questions asked, and up to 13 months for a collection they say they didn't authorise.
