What are the best ways to collect SEPA direct debit in Ireland?

An Irish business can collect SEPA direct debit in four main ways: through its own bank as a direct debit originator, through a direct debit provider, through the payment option connected to its accounting software, or through a tool that combines payments with credit control. The scheme rules on mandates, notice and refunds are the same on every route, so they differ mainly in how much of the surrounding work stays with you. Pick the route by what you'd rather not do yourself.

The short version

  • Every route follows the same SEPA rules on mandates, notice and refunds.
  • Collecting through your own bank leaves submission and returns to you.
  • Xero, Sage and Big Red Cloud direct debit options run through GoCardless.
  • Combined tools put direct debit, card payments and reminders in one account.
  • Ask whose creditor identifier and name customers will see on statements.

What stays the same on every route

Whoever submits the collections, the SEPA Direct Debit Core Rulebook sets the same obligations. You need a signed mandate from each customer and a creditor identifier on every collection, and in Ireland that identifier comes from a bank. Your customer gets notice at least 14 calendar days before each collection unless the two of you agree a different period, and the notice can sit on the invoice. The collection has to reach the customer's bank at least one business day before the due date.

On the customer's side, they can ask their bank to refund any authorised collection within eight weeks, or within 13 months if they say it wasn't authorised. A mandate you haven't collected on for 36 months lapses. None of these rules change with the route you pick, so comparing routes comes down to effort, cost and what happens around each collection.

Four routes and the work each leaves you

Going through your own bank gives you the most direct relationship with the scheme, and the most to run yourself. You're responsible for timing each collection so it reaches the customer's bank a business day before the due date, for spotting collections that come back rejected or returned, and for updating your books. For a business with a finance team and steady volumes, that control can suit.

A direct debit provider takes the submission work away, and the providers vary in what else they do. GoCardless collects SEPA direct debits but doesn't take cards or send invoice reminders, takes its fees out of each payout, and charges €50 a month as an add-on for your own business name on customers' bank statements. Stripe offers SEPA direct debit alongside cards, lists €3.50 for a failed SEPA payment and €15 for a SEPA dispute, and makes SEPA funds available six business days after the payment.

Your accounting software can be a shortcut to a provider, and it helps to know which one. The direct debit option on Xero Ireland invoices runs through GoCardless. Sage's Irish marketplace lists a GoCardless app that collects when Sage invoices fall due, and Big Red Cloud's direct debit is powered by GoCardless.

A combined tool puts direct debit, other payment methods and chasing under one account. Adfin takes SEPA direct debit, card, Apple Pay, Google Pay and bank transfer, sends payment links by email, SMS or WhatsApp, and includes free Essential credit control with unlimited reminders on those channels. Pricing is 20c + 1% per successful payment, and the 1% part is capped at €2 on SEPA direct debit and bank transfer but not on cards, which means a direct debit of up to €2,000 costs at most €2.20. As a certified Xero app and a certified QuickBooks app, it marks payments as paid in either automatically.

Which route fits your situation

If you collect a fixed amount from a stable list of business customers and have someone with time for the admin, your own bank is a reasonable route. Check what your bank charges and its cut-off time for submitting collections.

If every customer pays by direct debit, a provider that only does direct debit handles the collection itself. You'd still deal with failed collections, reminders and any customer who won't sign a mandate, either by hand or with other tools, and you'd match payouts that arrive net of fees if your provider deducts them.

If some customers pay by direct debit and others by card or transfer, look for one provider that takes all of them, so you're not running two accounts.

If most of your time goes on chasing, look at tools where reminders and payment sit together, so a customer who receives a reminder can pay from it straight away. With Adfin, Enhanced credit control adds Adfin's collection agents, which work within rules you approve, plus statutory late payment interest on overdue business invoices, for 0.3% per paid invoice, only when you use it.

Questions to ask before you commit

These are easy to ask during a trial and awkward to discover after the first collection run.

  1. Whose creditor identifier will your collections go out under, and whose name will customers see on their statements?
  2. What does each successful collection cost, and is anything charged when one fails or is disputed?
  3. Are fees taken out of what's paid to you, or charged separately?
  4. Can customers without a mandate pay the same invoice by card or bank transfer?
  5. Who sends reminders for invoices that aren't paid, and on which channels?
  6. Does a collected payment mark the invoice paid in your accounting software without you matching it?
  7. If you already collect through another provider, will customers have to sign new mandates?

On the last question, the answer depends on the providers involved. Customers who come with you to Adfin from another SEPA direct debit provider keep the mandates they already have, with no new signature.

Common questions

Can a small business collect SEPA direct debit without a provider? You can collect through your own bank once it sets you up as a direct debit originator and issues a creditor identifier. You then manage submission, returns and reconciliation yourself.

How much notice does a customer need before a SEPA collection? The rulebook requires notice at least 14 calendar days before the due date unless you and the customer agree another period. You can put that notice on the invoice itself.

Does Xero collect SEPA direct debit in Ireland? Xero Ireland offers direct debit on invoices through GoCardless, which you connect to your Xero account. Other apps that sync with Xero can also collect SEPA direct debit.

What does Stripe charge for a failed SEPA direct debit? Stripe's Irish pricing lists €3.50 for a failed SEPA payment and €15 for a SEPA dispute. SEPA funds become available six business days after the payment.

Can one tool collect direct debit and card payments? Several providers take both, including Stripe and tools that combine payments with credit control. GoCardless takes direct debit but not card payments.

What does SEPA direct debit cost with Adfin? Each successful payment costs 20c + 1%, with the 1% part capped at €2 on SEPA direct debit and bank transfer, not on cards. You won't be charged a monthly fee or a setup fee, and there's no contract to sign.
