Can you send an invoice and payment link by WhatsApp?

Yes, and for some of your customers it's the fastest route to being paid. A WhatsApp message carrying a payment link works the same way as one sent by email: your customer taps it, chooses a method and approves. What matters is that you've got a proper basis for messaging them there, and that you send the link and not the document.

How it works in practice

You send a message containing a payment link tied to one invoice. Your customer opens it on the phone they're already holding, picks a method, and approves with a face or a fingerprint. The payment carries your invoice reference, so it reconciles without anybody having to match it by hand.

The reason it works isn't really the channel. A phone message removes the steps a desktop email keeps: no inbox to search, no attachment to open, no bank details to type in by hand. Who it suits

NB. Match the channel to your customer instead of picking one for everybody. WhatsApp doesn't work better than email as such, but a channel your customer actually reads works better than one they don't.

The rules worth respecting

The way to use a chat app for this is to treat it much as you'd treat a phone call to the same person.

Get their agreement to use the channel first. Ask, and record that they said yes, because a business message landing in a personal chat app without that is a poor first impression at best.

Keep it recognisably you. Your business name, the invoice number, the amount, the due date and a link, and not a chatty note.

Try not to chase harder just because the channel makes it easier. Something that reaches somebody instantly makes over-chasing very tempting, so keep to the same schedule you'd use on email.

Send from a business number instead of your personal one, as much for your customer's sake as for your own. And if somebody asks you to move back to email, move them back to email.

None of this is exotic. It's the same standard you'd apply to a phone call: a reasonable basis for making it, at a reasonable hour, about a reasonable thing.

When something else is better

For recurring work, putting your client on a direct debit mandate will probably do more for you than any choice of channel, because it takes the payment decision away instead of just delivering it faster. Across our own data, 98.0% of invoices set to collect automatically get paid, against 90.8% of the ones collected on demand (Adfin platform data, requests created in the seven months to the end of January 2026).

And on a large invoice that needs internal approval, your channel isn't the constraint. A WhatsApp message can put your request in front of the right person faster, but it won't shorten a sign-off, so it pays to confirm early who approves the invoice and when.

Common questions

Can you legally send an invoice by WhatsApp? There's no rule requiring invoices to be sent by any particular channel. What matters is that your invoice carries the required information and that you've got a proper basis for contacting that person on that channel, so ask first.
