How it works

Connect Quickbooks

Connect QuickBooks once, then choose what Adfin touches: use the terms and payment windows you've already set up in QuickBooks, pick which invoices come through, and import all your customers now or add them later.

Adfin sends the invoice

Save the invoice, rather than save and send, and Adfin sends it for you with the PDF attached. Auto Collect invoices are collected by direct debit, while On Demand invoices go out with a payment link. Anything unpaid is chased automatically.

Automatically reconciled

You're paid the full invoice amount, with the fee invoiced separately rather than deducted. Paid invoices are marked as paid in QuickBooks, and each payout arrives with a matching transfer already recorded, so there's no matching and clearing on the bank side.

Built for the way Quickbooks works.

Two-way sync

Customers and payments move in both directions.

Invoice Terms

The QuickBooks Terms you already use decide which invoices Adfin collects, and how.

QuickBooks reminders

Turn them off when you connect, so your clients hear from Adfin once, not twice.

Gross settlement

The full invoice amount reaches you. The fee is invoiced separately, not deducted.

Payouts

One lump sum a day. Cards land in two working days, direct debit in four.

Adfin Bank account

A holding account Adfin creates in QuickBooks. Payments land there, then transfer to your bank.

Every payment method

Card, Apple Pay, Google Pay, open banking, bank transfer, direct debit.

Repeating invoices

Assign the Term once on the template, and untick automatic emails.

Invoice migration

Sign a mandate and that customer's open invoices move to direct debit on their own.

What moves between QuickBooks and Adfin?

Customers move in both directions: create or update one in either system and the other has it. Invoice changes come from QuickBooks into Adfin, so dates, numbers, line items and credit notes all land before the next reminder goes out. If you mark an invoice as paid in QuickBooks yourself, marking it paid in Adfin too stops the chasing.

CUSTOMER STORIES

Don't take our word for it

"If you've got those niggles about late payments and fees, and the ability to get people onto direct debit, I wouldn't hesitate to switch."

“We just send an email, here is your payment link, and clients love it. Whether it’s Apple Pay or credit card, they’ll just be double-clicking on their phone like they would with any other bill.”

“Working with Adfin feels like a dream scenario for a business owner - I've got a team of smart, dedicated people building software to solve my biggest business problems.”

"I don't have to worry about trying to find what amount is owed - I just click send and I know that Adfin will sort out everything within that email - for me it was a huge game-changer."

“What’s been really helpful about Adfin is that you build a flow once, and it triggers automatic reminders and chasers, saving a huge amount of time, and more importantly mental headspace.”

“Adfin doesn't charge for retries, and it gives us the ability to collect all of our payments through the same platform: card payments, bank transfers and direct debits all in one place.”

“We had 20 years of direct debit mandate history to wash through as part of this... the support we got in that journey was fantastic.”
