In England, the one rent record the law clearly requires is a rent book, where rent is payable weekly. For monthly rent there's no general statutory rule requiring a receipt, but tenants ask for one, and a dated record of every payment is your best evidence if arrears or a deposit dispute ever reach a tribunal or court. The easiest way to give one is to collect rent through a system that sends a payment confirmation as soon as each payment succeeds.

When the law requires a rent record
"I paid two days ago, where's my receipt?" is a message most letting agents know well, and for most tenancies the law doesn't require you to send one. The exception is weekly rent.
If a tenant pays rent weekly, the landlord must give them a rent book. It has to show the landlord's name and address and the prescribed information for the type of tenancy, and an agent acting for the landlord can commit the offence too. Failing to provide one is a criminal offence with a fine of up to level 4 on the standard scale, and a further offence if it carries on for more than 14 days after conviction.
The duty doesn't apply where the rent includes board making up a substantial part of the whole rent. It also doesn't apply to occupation contracts in Wales, which have their own regime.
For monthly or four-weekly rent, England has no general rule that says you must issue a receipt.
Why send a receipt when you don't have to
A receipt saves the phone call. A tenant who has paid wants proof, and a confirmation that arrives on its own means nobody in the office has to look up the payment, check the bank feed and reply.
It also protects you. If a tenancy ends in a possession claim for arrears, Ground 8 needs three months' rent (13 weeks' on weekly rent) owing both on the day you give notice and on the day of the hearing. A clean, dated record of what was paid and when is what lets you show that, and lets a tenant check it. The same record settles end-of-tenancy arguments about whether the last month was paid before the deposit is returned.
Landlords benefit too. When a landlord asks whether rent has come in, a matched payment with a confirmation behind it answers the question without anyone ringing round.
What a rent receipt should show
Whether it's a rent book entry for a weekly tenant or a confirmation for a monthly one, a useful record includes:
- the tenant's name and the property address
- the amount received and the date it arrived
- the rent period it covers
- how it was paid
- any balance still outstanding
- the landlord's or agent's name
If you hand-write receipts or type them in a template, the period covered and the outstanding balance are the two fields easiest to miss, and they're the ones that matter most in a dispute.
How to send receipts without doing it by hand
The manual route is a template email or a receipt from your accounting software, sent after someone has matched the payment to the right tenant. That works until rent week, when twenty standing orders arrive with garbled references and the receipts wait until the matching is done.
