How to connect Stripe and QuickBooks without a third-party bridge tool

QuickBooks Online has a Stripe connector in the US, but it isn't confirmed for UK files, so check the Integrations area of yours first. Without it or a paid bridge, you're recording each Stripe payout by hand. If you'd rather not pay for a bridge at all, take payments through a platform that pays out each invoice in full and matches it in QuickBooks for you.

Why Stripe payouts don't match your invoices

Stripe takes its fee off each payment, adds up everything it collected that day, and sends you one net amount about three business days later. Your QuickBooks bank feed sees that single line and has no invoice of that value to match it to.

Say three clients pay you by card on a Monday. One pays £1,200 on a business card, which Stripe charges at 2.8% + 20p, so £33.80. The other two pay £450 and £2,000 on personal cards at 1.5% + 20p, so £6.95 and £30.20. On Thursday, £3,579.05 lands in your bank.

To reconcile that one line, someone has to find the three invoices it covers, record each at its full amount, post £70.95 of fees to an expense account, and check the lot adds back to £3,579.05. With three payments that's quick. With forty in a payout, and two clients on the same monthly fee who paid on the same day, it becomes guesswork on amounts. That's the job a bridge tool does for you, and bridges charge by the number of transactions they sync, so the bill grows as you do.

What QuickBooks and Stripe offer without a bridge

In the US, QuickBooks Online has a Stripe Connector by QuickBooks under Integrations that imports Stripe transactions. It isn't confirmed for UK files, so look under Integrations in your own file before you plan month-end around it.

Stripe's IIF export only works with QuickBooks Desktop. For QuickBooks Online, Stripe points you to a third-party integration, which is the bridge you're trying to avoid.

If the connector isn't in your file, the no-bridge option left is doing it by hand from Stripe's payout reconciliation report.

How to record a Stripe payout by hand

This works if you take a handful of card payments a month.

  1. Keep Stripe on automatic payouts. The payout reconciliation report can't tell you which payments are in an instant payout.
  2. In QuickBooks, set up a "Stripe fees" expense account and a "Stripe clearing" account.
  3. When a payout hits your bank feed, open the report for it. It lists each payment with its gross amount, fee and net.
  4. Receive each payment against its invoice at the gross amount, into Stripe clearing, on the day the client paid.
  5. Post the total fees from Stripe clearing to Stripe fees.
  6. Transfer the net payout from Stripe clearing to your bank account and match it to the bank feed line.

At month end, the clearing balance should equal what Stripe is holding for you that hasn't paid out yet. If a payout doesn't agree to the penny, look for a refund or dispute in the report you haven't entered.

Most of the time goes on step 4. If your Stripe payments don't carry the invoice number, you're matching on amounts alone. And if you skip clearing and record one deposit per payout instead, your invoices stay open until the money lands, so your aged debtors report shows clients as owing money they've already paid, and you risk chasing them for it.

How to take payments that match invoices on their own

You only need a bridge because the money arrives as net lump sums, so the simpler fix is taking payments that don't arrive that way.
