Why does Xero chase clients who've already paid?

Usually because the payment hasn't been matched to the invoice in Xero yet. Xero reminds clients about invoices it still sees as unpaid, so if the money is sitting in your bank feed waiting to be reconciled, or it arrived in a way that doesn't match the invoice, the next reminder on your schedule goes out anyway. Reconciling every working day, pausing reminders on invoices you know are being paid, and taking payments in a way that updates Xero automatically all stop it happening.

The short version

  • Xero sends reminders to invoices it still sees as unpaid.
  • A payment sitting unreconciled in your bank feed can still trigger the next reminder.
  • Combined payments, unfamiliar references and lump-sum payouts are harder to match.
  • Reconcile every working day and pause reminders on invoices you know are being paid.
  • Payments taken through Adfin mark the invoice as paid in Xero automatically.

Why a paid invoice can still look unpaid

Xero emails reminders, on the schedule you set, for invoices it still sees as unpaid. Until a payment is matched to the invoice, Xero still sees it as unpaid, even if the money is already in your bank.

Matching it usually means reconciling your bank feed. Your bank sends Xero your transactions, Xero suggests a match, and someone in your team confirms it.

So the gap tends to open at predictable times. A client pays on Friday afternoon, nobody reconciles until Tuesday, and a reminder scheduled for Monday morning goes out in between. Holidays, month-end and a bookkeeper who reconciles once a week all widen the same gap.

Payments that are hard to match

Some payments sit unreconciled for longer because Xero can't suggest an obvious match.

A client pays three invoices in one transfer, with a single reference, so the amount doesn't match any one invoice. A large company pays on its own payment run and quotes its remittance number, not your invoice number. Someone pays from a personal or parent company account, so the payer name doesn't match the contact. A client pays slightly less than the invoice because their bank charged a fee, or rounds the figure.

Card and direct debit providers can cause the same problem from the other side. If a provider pays you one lump sum for many payments with its fees deducted, the deposit in your bank won't match any single invoice, and each one waits until someone splits the payout.

A routine that keeps reminders accurate

Xero's reminders can only be as up to date as your last reconciliation, so these habits are about keeping the two in step.

  1. Reconcile every working day, and first thing on Monday, before the day's reminders matter.
  2. When a client tells you they've paid, or sends a remittance, hold off reminders for that invoice until the money's matched.
  3. Clear small leftover balances, such as a bank charge, so they don't trigger a reminder.
  4. Pause reminders for a client while you're sorting out a query or a payment plan with them.
  5. Ask clients to quote the invoice number on every payment, and put it clearly next to your bank details on the invoice.

If a client has been chased in error, a short apology and confirmation that the payment has arrived is usually enough.

How to have payments mark invoices paid for you

The more payments that arrive already tied to an invoice, the less your reminders depend on a person reconciling in time.

Adfin is an approved Xero payment partner. When a client pays through it, by card, pay by bank or direct debit, the invoice is marked as paid in Xero automatically, without anyone reconciling it by hand. For clients who prefer to pay by bank transfer, it can give each one their own bank details in your business's name, so a transfer matches itself to the right invoice even with a missing or unfamiliar reference, including part payments.

If you also want the chasing to come from the same place as the payments, Adfin can send reminders by email, SMS or WhatsApp through its AI Customer Agents, and you'd switch Xero's reminders off so clients hear from one system only.

Common questions

Why did my client get a Xero reminder after paying? The payment most likely hadn't been reconciled to the invoice yet, so Xero still showed it as unpaid when the reminder was due.

Do Xero reminders stop when a client pays? Xero reminds on invoices it still sees as unpaid, so once the payment is matched to the invoice, from your bank feed or through a connected payment app, it isn't chased.

Can I stop Xero reminders for one client? Xero gives you some control over who gets reminders. Check your reminder settings, and hold off while a payment or a query is being sorted out.

How often should I reconcile Xero to avoid this? Every working day is a sensible habit, with a check first thing on Monday for anything paid over the weekend.

Why won't Xero match a payment to the invoice? Common reasons are one payment covering several invoices, a reference Xero doesn't recognise, a payer name that differs from the contact, or a payout with fees already deducted.

What should I say to a client who was chased after paying? Apologise briefly, confirm the payment has arrived, and let them know the reminder was automated. Then hold off reminders for that invoice if it isn't reconciled yet.
