Is automatic bank matching the same as credit control?

Automatic bank matching isn't the same as credit control. Bank matching records money after it lands in your account and ties it to the right invoice, while credit control is the work of getting customers to pay on time in the first place. Most businesses that invoice regularly need both, and credit control runs more smoothly when matching is kept up to date.

The short version

  • Bank matching isn't the same as credit control.
  • Matching records money after it arrives and marks invoices paid.
  • Credit control covers terms, reminders, chasing and payment plans.
  • Unmatched payments can trigger reminders to customers who have paid.
  • Most businesses that invoice regularly need both jobs done.

What automatic bank matching does

Bank matching is a bookkeeping job. Your accounting software pulls in transactions from your bank feed each day and suggests which invoice or bill each one belongs to. In Xero you can set bank rules so similar transactions are treated the same way every time, and it uses your history to suggest matches for regular payments. QuickBooks holds downloaded transactions in a pending list, where you confirm a match or categorise them yourself.

Either way, matching only starts once money has arrived. It tells you what came in and which invoice it pays. When the software isn't sure, it leaves the transaction for you to check, so someone still spends time on the awkward ones: a customer who paid two invoices in one transfer, used the wrong reference or paid a slightly different amount.

Good matching keeps your records accurate and shows you which invoices are still open. It doesn't contact a customer, agree a due date or bring any money in.

What credit control covers

Credit control runs from before an invoice goes out until the money is in your account. For most small businesses it includes:

  • agreeing payment terms and checking new customers before you give them credit
  • sending invoices promptly, with clear ways to pay
  • reminding customers before and after the due date
  • following up personally on larger or older debts
  • offering an instalment plan when a customer can't pay in one go
  • deciding when an overdue account needs escalating

Your accounting software covers part of this. Xero can email reminders on your behalf and lets customers pay by card or direct debit from a Pay now button on the invoice. QuickBooks can send up to three email reminders, timed before or after the due date. For plenty of small businesses that's a sensible starting point.

The rest of credit control comes down to judgement and follow-through: knowing which customers need a call, who looks after each overdue account and what was promised last time.

How the two jobs compare

The two jobs meet at the invoice status. Reminders go to invoices marked unpaid, so if a payment arrives but hasn't been matched, the customer can get a reminder for something they've already settled. Credit control relies on matching being quick and accurate, though quick matching on its own won't collect anything.

You can take some of the matching work away by collecting payments through a route that already knows the invoice. Payments taken through Adfin are marked paid in Xero or QuickBooks automatically. Each customer also gets their own bank details in your name, so a bank transfer matches itself, and payouts arrive gross with fees invoiced separately, so what lands matches what you invoiced.

When you need both, and when you might not

If you've got a handful of customers who pay reliably by bank transfer, bank matching plus your accounting software's reminders may cover you for now.

Things change once invoices go overdue regularly, the same customers keep paying late, or chasing only happens when someone remembers. A tidy bank feed won't fix any of those on its own. You'll want a routine for chasing and a named person behind it.

A few steps help:

  • Keep matching up to date, ideally daily, so reminders only reach customers who still owe you.
  • Give every overdue account an owner.
  • Write down when reminders go out, on which channel, and when a person picks up the phone.
  • Offer more than one way to pay, including direct debit for regular work.

Adfin's Essential credit control plan is free, under fair use, and sends unlimited reminders by email, SMS and WhatsApp, with accounting sync, debtor reporting and statements included. If you'd like more of the chasing handled, Adfin's collection agents adjust timing, channel and tone within rules you approve, on the Enhanced plan at 0.3% per paid invoice.

Common questions

Does Xero do credit control? Xero covers part of it. It can email reminders for overdue invoices and lets customers pay online from the invoice. Judgement calls, such as who to phone or when to agree a payment plan, still need a person or a dedicated credit control tool.

Is bank reconciliation the same as credit control? No. Reconciliation checks that your records match your bank once payments have arrived, while credit control is about getting those payments to arrive on time.

If my bank feed matches payments automatically, do I still need to chase invoices? Yes, if any customers pay late. Matching shows you who hasn't paid, but it doesn't get in touch with them.

Why do my reminders go to customers who have already paid? Usually the payment hasn't been matched to the invoice yet, so the invoice still shows as unpaid. Matching daily, or taking payments through a route that marks invoices paid automatically, tends to stop it.

Who should own credit control in a small business? Whoever is responsible for cash coming in, which might be the owner, an office manager or a bookkeeper. Having one named person for each overdue account tends to help more than any particular job title.

Can I automate credit control in Xero or QuickBooks? You can automate email reminders in both. Reminders by SMS or WhatsApp and instalment plans usually come from a credit control app connected to your accounting software.
