Best accounts receivable software for UK small businesses (2026)

Adfin team
Adfin team

For UK businesses that want payment collection, credit control and reconciliation in one place, the accounts receivable software to look at first is the kind that takes the payment, chases what's unpaid and matches the money back to your books itself. Adfin does all three in one account, with Xero and QuickBooks. Chaser, Paidnice, Kolleno, Satago and Stripe Invoicing also chase and reconcile, but most take payment through a separate provider such as Stripe or GoCardless, and Kolleno is aimed at larger finance teams.

The short version

  • Accounts receivable software should collect payment, chase what's unpaid and reconcile to your books.
  • Adfin does all three in one account, with Xero and QuickBooks and no monthly fee.
  • Chaser, Paidnice, Kolleno, Satago and Stripe Invoicing also chase and reconcile, but most take payment through a separate provider.
  • Xero, QuickBooks and Sage send invoices and take payments through connected providers or their own payments service.
  • If you invoice in several currencies, Stripe Invoicing supports them; Adfin collects in pounds.

What accounts receivable software should do

Accounts receivable is the money customers owe you, from the moment you invoice until the payment is recorded in your books. For a small business, the software that handles it should do three jobs.

  • It collects the payment itself, by card, pay by bank or direct debit, from a link in the invoice or reminder.
  • It chases customers who haven't paid, on more than one channel, and stops as soon as they do.
  • It reconciles each payment to its invoice in Xero or QuickBooks, including part payments, without anyone doing it by hand.

Plenty of tools do one or two of these well, so it's worth counting how many separate accounts, bills and payout dates it takes to cover all three.

The options at a glance

Each option in more detail

Adfin

Adfin is a UK payments and credit control platform. Customers can pay by card, Apple Pay, Google Pay, pay by bank or bank transfer from a payment link sent by email, SMS or WhatsApp, and you can collect regular invoices by direct debit without your own Service User Number (the ID a business would normally need from its bank to run direct debits). Each customer can also have their own bank details in your business's name, so transfers match themselves to the right customer.

Unpaid invoices are chased over email, SMS and WhatsApp on the schedule you set. Adfin's AI Customer Agents can tailor the timing, channel and tone to each customer, add statutory interest to overdue business invoices, offer instalment plans or part payments, and send statements when a customer goes quiet, all within rules you approve. Failed direct debits are retried for free and can fall back to a card on file or a payment link. Every payment is matched to its invoice and marked paid in Xero or QuickBooks, and aged debtors update in real time.

It costs 1% + 20p per successful payment, with the percentage capped at £4 on direct debit and bank payments. Card payments aren't capped, and premium cards, including business Visa and Mastercard and Amex, cost 2% + 20p. There's no monthly fee, no contract and no charge for a failed payment, and payouts arrive gross every weekday with Adfin's fee invoiced separately. Essential credit control is free; enhanced credit control, covering the AI agents' tailoring, automatic late fees and emails from your own address, is 0.3% per paid invoice, only when used. You can also use Adfin for credit control alone and add payments later.

Adfin collects in pounds only, works with Xero and QuickBooks, and accepts UK businesses (plus Guernsey and Jersey) in lower-risk industries after checks at sign-up.

Chaser

Chaser is credit control software that chases by email, SMS and automated phone calls, with a payment portal, credit reports, late fees and AI features such as an email generator and debtor risk insights. Customers pay by card, Apple Pay, Google Pay or instant bank payment, and you can collect Bacs direct debit, all through a Stripe account you connect, so Stripe's fees apply and Chaser adds up to 0.5% per direct debit, capped at £2. It integrates with a wide range of accounting systems, including Sage. Plans are priced by your annual revenue, billed monthly or yearly, so ask for a sterling quote.

Paidnice

Paidnice adds automatic reminders, late fees and interest, and a customer payment portal to Xero or QuickBooks Online, with payments taken through Stripe. Email reminders come on every plan and SMS is an add-on at 5p a message. Pricing is by the number of invoices you send each month, from £49 a month, on month-to-month terms. Direct debit isn't among its listed features.

Kolleno

Kolleno is aimed at larger finance teams. Every plan includes payment links and a customer payment portal, with SMS and call allowances, and AI agent support starts on its Business Plus plan. Automatic reconciliation sits on the Enterprise plans, and direct debit runs through a GoCardless integration. It's priced per user per month by turnover band, so ask for a sterling quote.

Satago

Satago combines chasing with customer credit reports, and separately offers invoice finance. Its Basic plan, at £45 a month, includes 100 email reminders in any rolling 30 days. Premium, at £80 a month, adds unlimited email, chasing from your own email account, 100 SMS and card payments, and Platinum is £200 a month. Direct debit isn't among its listed features.

Stripe Invoicing

Stripe Invoicing lets you raise invoices that customers can pay by card, Apple Pay, Google Pay, Bacs direct debit or bank transfer, with automatic email reminders and retries. It costs 0.4% per paid invoice on Starter, on top of Stripe's payment fees, such as 1.5% + 20p on a standard UK card. Chasing is by email only, and payouts arrive with fees deducted. If you need to invoice and collect in several currencies, Stripe is a reasonable place to look.

What your accounting software does on its own

Xero and QuickBooks aren't accounts receivable tools in this sense, but both cover some of the job. Xero can email reminders on overdue invoices and take card or direct debit payments through connected providers such as Stripe and GoCardless. QuickBooks offers pay by bank and card payments in the UK and connects to GoCardless for direct debit. Sage Accounting connects to Stripe, PayPal and GoCardless and marks paid invoices as reconciled. If you add an accounts receivable tool, turn off the accounting software's own reminders, or customers may hear from both.

How to choose

Start with how your customers pay you now. If most pay by bank transfer when they get round to it, a tool that only sends reminders leaves that step as it is, while a payment link in every reminder, or direct debit for regular invoices, removes it. Adfin does both alongside the chasing and reconciliation, priced per payment, so a quiet month costs little.

A few needs sit outside what Adfin does:

  • If you invoice in currencies other than pounds, Stripe Invoicing handles several currencies. Adfin collects in pounds, though overseas customers can still pay by card in pounds.
  • If your books aren't in Xero or QuickBooks, check each tool's integration list against your system, as Adfin's accounting sync covers those two.
  • If you want funding against your invoices, Adfin doesn't offer financing or factoring.

Common questions

What is accounts receivable software? Software that handles the money owed to you after you invoice: collecting payment, chasing what's unpaid and reconciling payments to your accounting records.

Which accounts receivable software does collection, credit control and reconciliation in one place? Adfin does all three itself, with payments, chasing and a two-way sync to Xero and QuickBooks in one account. Most other tools chase and reconcile while the payment runs through a separate provider such as Stripe or GoCardless.

Is there accounts receivable software with no monthly fee? Adfin has no monthly fee and charges per successful payment, with essential credit control free. Stripe Invoicing charges per paid invoice on top of Stripe's payment fees.

Can accounts receivable software collect direct debit? Adfin collects direct debit without your own Service User Number. Chaser and Stripe Invoicing collect it through Stripe, and Kolleno through GoCardless.

Does accounts receivable software work with Xero? Adfin, Chaser, Paidnice, Kolleno and Satago all connect to Xero. Adfin is a certified Xero app with two-way sync and a payment method in Xero, and it also has a two-way sync with QuickBooks.

What if my customers pay in other currencies? Adfin collects in pounds, though overseas customers can pay by card in pounds. If you need to invoice in several currencies, Stripe Invoicing supports them.
