Best debtor management software for UK businesses using Xero or QuickBooks (2026)

Adfin team

Debtor management software reads your unpaid invoices from Xero or QuickBooks, shows you who to chase today, holds back debts that are promised or disputed, and follows each debt until it's paid. For UK businesses on either ledger, Adfin manages debtors and takes the payment in the same account, with a two-way sync to both. Paidnice, Chaser, Kolleno and Upflow also connect to Xero and QuickBooks but take payment through a separate provider such as Stripe or GoCardless, or Chaser's own Chaser Pay, Satago adds credit reports, and Credit Hound is built around Sage.

The short version

  • Debtor management software shows who owes you money, who to chase today and which debts are promised or disputed.
  • Adfin manages debtors and takes the payment in one account, with a two-way sync to Xero and QuickBooks.
  • Paidnice, Chaser, Kolleno and Upflow connect to both ledgers but take payment through a separate provider or service.
  • Credit Hound works with Xero and Sage but not QuickBooks.
  • Check the sync runs both ways so customers who've paid stop getting reminders.

What debtor management software does

Your debtors are the customers who owe you money. Debtor management software gives you a working list of them: who owes what and for how long, who should be contacted today, who has promised to pay by Friday and which invoices are on hold because a customer has raised a problem. It records each conversation against the debt so the next person picking it up knows where things stand.

The three terms overlap.

  • Accounting software, such as Xero or QuickBooks, records your invoices and holds the aged debtors report. It can send basic reminders, but it isn't built to run a chasing process across dozens of customers.
  • Credit control software automates the chasing: reminder schedules by email, SMS or phone, late fees and statements.
  • Debtor management software is the day-to-day layer on top. It decides who needs attention, logs promises and disputes, and gives each debt an owner. Most credit control tools now include some of it, which is why the products below cover both.

In practice, the bigger difference between these tools is whether they can also take the payment. If a reminder carries a link your customer can pay from, and the payment flows back to Xero or QuickBooks, the invoice is marked paid without anyone touching it. If it doesn't, someone still has to spot the bank transfer and mark the invoice.

Seven tools compared

Each tool in brief

Adfin

Adfin runs debtor management and payments in one account. Its aged debtors view shows what each customer owes, broken down by age, and from there you can give each debtor an owner, add actions, change how a customer is chased, send a statement or set up an instalment plan. Reminders go out by email, SMS and WhatsApp, and Adfin's collection agents can tailor the timing, channel and tone for each customer within rules you approve. You can pause chasing for one customer or one invoice, including until a date you set, and statutory interest can be added to overdue business invoices automatically, with grace periods and waivers per customer.

Customers pay by card, Apple Pay, Google Pay, pay by bank, bank transfer to bank details unique to them, or direct debit, and every payment is marked paid in Xero or QuickBooks through a two-way sync. It costs 1% + 20p per successful payment (2% + 20p on business and premium cards), with the percentage capped at £4 on direct debit and bank payments (cards aren't capped). There's no monthly fee and no contract. Essential credit control is free; enhanced credit control, which covers the agents' tailoring, automatic late fees and emails from your own address, is 0.3% per paid invoice, only when used. Adfin collects in pounds only and syncs with Xero and QuickBooks, not Sage.

‍

Paidnice

Paidnice adds reminders, escalations, promises to pay, dispute holds and late fees or statutory interest to Xero and QuickBooks Online. Payments run through Stripe or another connected provider, so that provider's card and direct debit fees apply on top of the subscription. Essentials is £49 a month for up to 150 invoices and two team members. Pro, which adds unlimited users, payment plans and multi-currency, runs from £74 to £599 a month by invoice volume. SMS reminders are charged per message on top.

‍

Chaser

Chaser chases by email, SMS and automated phone calls, with task management, a payment portal and late fees set as fixed amounts, percentages or daily interest. Customers can pay by card, Apple Pay, Google Pay or instant bank payment through Chaser Pay, Chaser's own payment service, or through a Stripe account you connect instead. Direct debit needs the Stripe route, so Stripe's fees apply and Chaser adds up to 0.5% per direct debit, capped at £2. It integrates with a wide range of systems, including Sage, NetSuite and Business Central, so it's an option if your books aren't in Xero or QuickBooks. Plans are banded by annual revenue and priced in dollars, so ask for a quote in pounds.

‍

Credit Hound

Credit Hound, from Draycir, is built around Sage and also works with Xero. Its task list shows who to call and why, and it records promised payments and disputes. QuickBooks isn't among its supported systems. Pricing is per user, from £20 a month for the first user depending on your accounting system, and taking card or open banking payments needs the PayThem module at £38 a month.

‍

Satago

Satago combines chasing with credit reports on your customers. Basic is £45 a month with 100 email reminders in any rolling 30 days and no SMS; Premium at £80 adds unlimited email, 100 SMS, chasing from your own email account and card payments; Platinum is £200. Direct debit isn't among its listed features, and neither are promise or dispute tracking.

‍

Kolleno

Kolleno tracks promises to pay and gathers disputes in one workspace with reason codes. Payment links, a payment portal and a collections inbox come on every plan. Direct debit runs through a GoCardless integration, and automatic reconciliation is only on its Enterprise plans. It's priced per user per month with minimum user numbers rising by plan, shown in dollars, so ask for a sterling quote.

‍

Upflow

Upflow is aimed at larger finance teams. It tracks promises to pay and disputes, gives collectors a to-do list of actions, and takes Bacs direct debit through Stripe, with payments carrying their own fees on top of the plan. There's a free plan for viewing what's owed; paid plans are quoted by annual invoiced revenue in dollars, so ask for a quote in pounds.

Questions to ask if you use Xero or QuickBooks

  • Does the sync run both ways? A tool that only reads invoices can keep chasing a customer who paid by bank transfer this morning. Check that payments taken through the tool are marked paid in your ledger automatically, and that payments recorded in Xero or QuickBooks stop the chasing.
  • Which QuickBooks do you have? Most of these tools connect to QuickBooks Online, so check before you sign up if you're on a desktop version.
  • Who holds the money? If payments run through your own Stripe or GoCardless account, you'll have a second set of fees, payouts and logins to reconcile alongside the chasing tool.
  • Will your customers hear from two systems? If Xero or QuickBooks already sends reminders, switch them off when the new tool starts chasing.
  • Do you need other currencies or Sage? If you invoice in currencies other than pounds, look at Stripe, GoCardless or Wise for the payment side. If your books are in Sage, Credit Hound and Chaser both work with it.

Adfin's essential credit control is free, so you only pay when a customer pays through it.

Common questions

What is debtor management software? It's software that tracks who owes you money and for how long, tells you who to chase next, and records promises to pay and disputes until each debt is paid.

Is debtor management the same as credit control? They overlap. Credit control is the chasing itself, while debtor management covers the list of who owes what, who owns each debt and what happens next, and most credit control tools now include both.

Which debtor management software works with both Xero and QuickBooks? Adfin, Paidnice, Chaser, Satago, Kolleno and Upflow all connect to both. Credit Hound works with Xero and Sage but not QuickBooks.

Can debtor management software take the payment too? Adfin takes card, pay by bank, bank transfer and direct debit itself. Paidnice and Upflow take payment through Stripe, Chaser through its own Chaser Pay or a connected Stripe account (needed for direct debit), Kolleno uses GoCardless for direct debit, and Credit Hound and Satago take card payments on an add-on or higher plan.

Which tools add late fees or statutory interest automatically? Adfin can add statutory interest to overdue business invoices automatically, as part of enhanced credit control. Paidnice offers fixed fees, daily interest or statutory interest, and Chaser applies fixed, percentage or daily interest fees on rules you set.

How much does debtor management software cost? Adfin charges 1% + 20p per successful payment (2% + 20p on business and premium cards) with no monthly fee, and its essential credit control is free. Satago starts at £45 a month, Paidnice at £49 and Credit Hound at £20 for the first user, while Chaser, Kolleno and Upflow quote by revenue or turnover.
