What will my clients see on their bank statement when I collect by direct debit?

Your clients see the name registered to the Service User Number (SUN) their mandate sits under. If you have your own SUN, or a bureau submits under yours, that's your business name. If you collect through a payment provider, a provider's name usually appears rather than yours, with a short form of your business name or a reference alongside, unless you pay to show your own name.

The short version

  • Clients see the name registered to the Service User Number their mandate sits under.
  • With your own SUN or a bureau, that's your name; with a provider, it's usually the provider's.
  • Most providers charge a monthly fee to show your own name; Adfin Custom is £36 a month, chosen at set-up.
  • The name is tied to the SUN, so changing it later usually means every client signing a new mandate.
  • Telling clients what to expect, and sending advance notices, helps avoid queries.

Whose name appears and why

Every direct debit is collected under a Service User Number, the six-digit number given to an organisation authorised to collect through Bacs. The name on your client's statement is the one registered to that number, and there are three common set-ups:

  • Your own SUN: your business name appears. This needs a direct debit facility from your bank, which most small businesses don't apply for.
  • A bureau: it sends the collection files for you, but under your own SUN, so your name still appears.
  • A payment provider collecting under its own SUN: a provider's name appears, because your mandates sit on its number. There's no bank facility to arrange, which is why many small firms collect this way.

Because the name is tied to the SUN the mandates are on, changing it later usually means moving every client onto a different number, and each of them authorising a new mandate. So the name is worth deciding before your first client signs.

What clients see when you use a payment provider

Providers that collect under their own SUN show a provider's name by default, often with your business name or a reference alongside. Many offer a paid option to show your business name instead, usually for a monthly fee, and it's worth asking when that option has to be chosen.

With Adfin, a provider's name appears with a short form of your business name in the payment reference. Adfin Custom, at £36 a month, shows your business name instead. It's chosen when you first set up direct debit, because adding it later would mean every client signing a new mandate. Card and pay by bank payments through Adfin show your own statement name. If a client does query a debit, its AI Customer Agents can send them a statement of what's been paid and what's outstanding.

Why an unfamiliar name causes queries

A client who sees a name they don't recognise can ignore it, ring you, or ring their bank. The Direct Debit Guarantee entitles a payer to a full and immediate refund from their own bank if a payment is taken in error, so a client who doesn't recognise a debit may assume that's what happened.

Business clients add another step. Their finance team reconciles every line, and a debit labelled with a provider's name has to be traced back to your invoice. One query isn't much, but it's an email to answer, and the client's accounts team may hold the next payment until they've had a reply.

Whether paying for your own name is worth it depends on who your clients are. If they're businesses with their own finance staff, or you have many clients on direct debit, your own name removes one common reason for a query. If you have a handful of clients who know you well, telling them what to expect may be enough.

How to tell clients what to expect

Much of the confusion goes away if clients know in advance. A few habits help:

  1. Say it in the proposal or onboarding email, for example "Payments will show under our payment provider's name on your statement, with our name in the reference."
  2. Send the line to the client's finance contact as well as the person who signed, since they're the one reading the statement.
  3. Check that advance notices go out before each collection, ideally with the invoice attached, so the debit arrives with context.
  4. Put the same line on your invoices, next to the payment details.

Common questions

What is a Service User Number? It's the six-digit number given to an organisation authorised to collect direct debits through Bacs. The name on your client's statement is the one registered to it.

Can I show my business name without my own SUN? Usually yes, through your payment provider, which typically charges a monthly fee for it.

What will clients see if I collect through Adfin? A provider's name, with a short form of your business name in the payment reference. Adfin Custom, chosen when you first set up direct debit, shows your business name for £36 a month.

Can I change the name after clients have signed? Usually only by moving every client onto a new mandate, because the name is tied to the SUN their mandates sit on.

Will clients be confused by a provider's name? Some may, which is why it helps to tell them in your proposal or onboarding email and on your invoices.

Does the statement show which invoice a payment was for? No, there's only room for a name and a short reference. An advance notice that attaches the invoice lets your client match it.
