How to manage payments and credit control for multiple entities from one login

If your group runs several companies, you can manage each one's payments and credit control from a single login. In Adfin, each entity is set up as its own business, with its own payout account in its own name, its own accounting connection and its own chasing rules, and you switch between them from one menu instead of logging in and out. Pricing is per payment, with no extra licence for each entity.

The short version

  • Each company in a group needs its own payout account, books and chasing.
  • In Adfin, each entity is its own business, and you switch between them from one menu.
  • Each entity connects to its own Xero or QuickBooks organisation.
  • Team members can be given access to only the companies they work on.
  • Pricing is per payment, with no extra licence for each entity.

Why separate entities need separate setups

Each company in a group is its own legal entity. It invoices its own customers, gets paid into its own bank account and keeps its own books. Money collected for one company shouldn't land in another's account, and a customer who owes one entity shouldn't be chased in another's name.

That's why most payment and credit control tools treat every entity as a separate account. The trouble is the overhead that comes with it. A finance team running five companies can end up with five logins, five sets of settings and five places to check for failed payments, and someone has to remember which browser tab belongs to which business. It gets harder as the group grows, and harder again when people join or leave the team.

The aim is to keep each entity's money, records and customers separate while making the work feel like one job.

What one login across entities looks like

In Adfin, you can hold several businesses under one login. You switch between them from the business name at the top of the sidebar, and a tick shows which one you're in. Everything you do, from invoices and payments to collection agents and settings, applies only to the business you're currently working in, so it's worth glancing at the name before you change anything.

Each entity keeps its own:

  • payout account, which has to be in that company's name
  • connection to its own Xero or QuickBooks organisation, so payments are marked paid in the right set of books
  • customers, mandates and payment methods, from direct debit and card to pay by bank and unique bank details for transfers
  • chasing rules, so one company can run a firmer schedule than another
  • team members, so you can give someone access to the companies they work on

Adding another entity uses the same setup as your first account, including the checks on that company, and it then appears in the same menu. Adfin charges per successful payment with no monthly fee, so adding an entity doesn't add a licence.

How to set up a group of companies

A simple order that tends to work:

  1. Start with the entity that bills the most, and get its payments and chasing working the way you want.
  2. Add the other entities from the same menu, each with its own bank account in its own name and its own accounting connection.
  3. Set up similar chasing rules for the other entities, then adjust them for any whose customers behave differently, such as a trading company with retail customers next to a property company with tenants.
  4. Decide who needs access to which entity, and invite people only to the businesses they work on.
  5. Put the check into your routine: before you raise a payment link or change a setting, confirm which business you're in.

If your entities share customers, remember that each company's invoices are still chased in that company's name. A customer who owes two of your companies will hear from each one separately, so it can help to keep the tone and timing consistent across the group.

Who it suits

Mid-sized groups get the most from it: holding companies with several trading subsidiaries, businesses that set up a new company for each site or brand, and property owners with a company for each building or portfolio. The finance team works across all of them without a separate login for each, while every company's cash still goes to its own account.

Accountancy practices use the same setup the other way round. A practice can set up and manage collections for its clients, each as their own business, and switch between them from one login. That makes it practical to offer credit control as a service without logging in and out of every client's account.

Adfin's collection agents run each entity's chasing within the rules you approve for that company, so a group can automate reminders across all its businesses without mixing up whose customer is whose.

Common questions

Can I manage several companies from one Adfin account? Yes. You can hold several businesses under one login and switch between them from the menu at the top of the sidebar. Each one is still its own business, with its own payout account, settings and customers.

Does each company need its own bank account? Yes. Each business pays out to one account in its own name, so money for one company never lands in another's account.

Do I pay extra for each entity? No. Adfin charges per successful payment with no monthly fee, so there's no per-entity licence. Each payment is priced the same way whichever business takes it.

Can each company connect to its own Xero or QuickBooks? Yes. Each business connects to its own accounting organisation, so payments are marked paid in the right company's books.

Can I give a colleague access to only some of the companies? Yes. Team members are invited to each business separately, so someone can work on the entities they're responsible for and nothing else.

Can an accountant manage clients' accounts this way? Yes. A practice can set up and manage clients as separate businesses under one login, which makes running their credit control practical without separate logins for each client.
