What are the best QuickBooks payment tools for UK small businesses?

The main QuickBooks payment tools for UK small businesses are QuickBooks Payments, GoCardless, Stripe, Chaser and Adfin. The first three take the payment, Chaser sends the reminders, and Adfin does both as a certified QuickBooks app with two-way sync. Which suits you depends on how your customers pay today and whether you want payments and chasing in one place.

The short version

  • Payment tools for QuickBooks either collect the money or chase it.
  • QuickBooks Payments takes card and pay by bank, but isn't on the Sole Trader plan.
  • GoCardless collects direct debit but doesn't take cards or chase.
  • Stripe takes cards with its fees deducted from payouts, and Chaser takes payments through a Stripe account you connect.
  • Adfin collects and chases in one certified QuickBooks app with two-way sync.

Tools that collect and tools that chase

QuickBooks raises your invoices and reconciles your bank feed. To take a card payment or a direct debit against those invoices, you connect a payment tool, either Intuit's own QuickBooks Payments or an app from the QuickBooks App Store.

It helps to separate two jobs before comparing anything. Some tools take the money, by direct debit on the due date or by card or pay by bank when your customer opens a link. Others send reminders on a schedule, and your customer still has to go and pay. If most of your customers pay by bank transfer when they get round to it, reminders alone still leave the timing with them.

Tools that collect the payment

QuickBooks Payments is Intuit's built-in option, with the payments themselves provided by Adyen. It lets your customers pay QuickBooks invoices by card or pay by bank and marks them paid for you. It isn't available on the QuickBooks Sole Trader plan, and chasing is left to QuickBooks' own invoice reminders.

GoCardless collects direct debits against QuickBooks invoices, using each invoice's amount and due date, and can send a one-off pay by bank link. It doesn't take cards and doesn't chase, so customers who haven't set up a mandate, or who'd rather pay another way, are still yours to follow up. It charges its fee on every payment you submit, including ones that fail, and showing your own business name on customers' bank statements costs extra each month.

Stripe takes card, Apple Pay and Google Pay payments, and offers Bacs direct debit too. Standard UK cards cost 1.5% + 20p and premium UK cards 2.8% + 20p, and Stripe takes its fees off before it pays you, so a payout rarely matches any single invoice in QuickBooks. It doesn't chase your QuickBooks invoices, and getting its payments into QuickBooks usually means adding a connector app.

Adfin connects to QuickBooks as a certified app with two-way sync, so your QuickBooks invoices come across and each payment goes back marked paid against the right one. Customers can pay from a link sent by email, SMS or WhatsApp, by card, Apple Pay, Google Pay, pay by bank or bank transfer, and regular customers can be put on direct debit without you needing your own Service User Number. Bank transfers land in bank details set up for each customer in your business's name, so they match without anyone checking references. Payouts arrive every weekday in full, and Adfin's fee comes as a separate invoice, so nothing needs splitting out in QuickBooks. It costs 1% + 20p per successful payment, with the percentage capped at £4 on direct debit and bank payments, and nothing for a failed payment. Card payments aren't capped, and premium cards cost 2% + 20p.

Tools that chase unpaid invoices

Chaser is credit control software that reads your QuickBooks invoices and chases customers by email, SMS and automated calls. Its payment portal, Chaser Pay, lets customers pay by card, wallet, instant bank transfer or direct debit, but it runs through a Stripe account you connect, so you pay Stripe's processing fees on top of the subscription. Its receivables plans start at £199 a month excluding VAT and rise with your annual revenue.

If the delay is in the paying itself, because customers have to type in bank details or wait for a cheque run, a tool that puts a payment link in every reminder, or collects by direct debit on the due date, can remove some of the chasing altogether.

Adfin's essential credit control is free and includes unlimited reminders over email, SMS and WhatsApp on the schedule you set, with a payment link in every message. Its collection agents, part of enhanced credit control at 0.3% per paid invoice, adjust the timing, channel and tone for each customer within rules you approve, and can add statutory interest to overdue business invoices.

How to choose and avoid double reminders

Start with how your customers pay you now. If most of your income is regular, a tool that collects by direct debit on the due date removes the chasing for those customers. If it's mostly one-off invoices, look for a payment link in every invoice and reminder, with card and pay by bank on the same page. If you'd otherwise need one tool for direct debit, another for cards and a third for chasing, it's worth comparing what you'd pay across all three with a single tool that does each job.

Then check how payouts land. A payout that arrives with fees taken off doesn't match any one invoice, so someone has to post the fees and clear the difference each time. A payout that arrives in full, with fees billed separately, matches invoice for invoice.

Finally, decide which system sends reminders. QuickBooks can send its own invoice reminders, and a chasing tool can't usually see that schedule. If you leave both on, a customer may get two emails about the same invoice in two different tones, so switch QuickBooks' reminders off once another tool takes over.

Common questions

Does QuickBooks take card payments in the UK? Yes, through QuickBooks Payments, which takes card and pay by bank payments on QuickBooks invoices. It isn't available on the Sole Trader plan.

Can I collect direct debit through QuickBooks? Yes, through an app such as Adfin or GoCardless, which collects against the amount and due date on each QuickBooks invoice.

Is there one QuickBooks app for payments and chasing? Adfin takes card, Apple Pay, Google Pay, pay by bank, bank transfer and direct debit, and chases unpaid invoices from the same app. GoCardless doesn't take cards, and neither GoCardless nor Stripe chases your invoices.

Do QuickBooks payment apps reconcile automatically? Most mark invoices as paid in QuickBooks. Where fees come off the payout, you still need to post the fees and match the payout to your bank line.

Will a chasing app clash with QuickBooks' own reminders? It can, because each system sends its own emails. Choose one to chase your customers and switch the other off.

How much do QuickBooks payment tools cost? Payment tools tend to charge per transaction, while chasing tools such as Chaser charge a monthly plan. Adfin charges 1% + 20p per successful payment, with the percentage capped at £4 on direct debit and bank payments (cards aren't capped), and no monthly fee.
